Office Cleaning Scope of Work: A Template for Melbourne Offices

The single most useful document in an office cleaning contract is not the price. It is the scope of work: the written list of what gets cleaned, how often, and to what standard. Without one, every complaint becomes an argument about what was included.

Here is a template we would be happy to be held to. Adjust the frequencies to your office and send it to every provider you are comparing, so the quotes are for the same job.

Nightly (every service)

Workstations and offices

  • Empty bins and recycling; replace liners
  • Wipe clear desk surfaces; wipe shared keyboards, mice and phones where desks are shared
  • Wipe chair arms and door handles
  • Vacuum carpet in traffic areas and under desks where clear

Meeting rooms and boardroom

  • Reset chairs, clear and wipe tables
  • Wipe whiteboards if cleared and agreed
  • Wipe conference phones, screen remotes and switches
  • Vacuum or mop floors

Reception and lift lobby

  • Wipe counter, visitor tablet and pens
  • Spot-clean entry glass at hand height
  • Vacuum or mop floors; clean entry mats

Kitchens and breakout areas

  • Wipe benches, splashbacks, sinks and taps
  • Wipe fridge, microwave and dishwasher fronts and handles
  • Load or unload the dishwasher (agree which)
  • Empty bins; wipe bin lids
  • Mop hard floors

Bathrooms

  • Clean and disinfect toilets, urinals, seats and flush buttons
  • Clean basins, taps, mirrors and benches
  • Restock toilet paper, hand towel and soap
  • Empty sanitary and general bins
  • Mop floors with bathroom-only equipment

Touch points throughout

  • Door handles and push plates, light switches, lift buttons inside the tenancy, stair rails

Weekly

  • Dust ledges, partitions and window sills within reach
  • Wipe skirting boards in high-traffic areas
  • Spot-clean walls and doors at hand height
  • Clean internal glass and glass partitions
  • Wipe the inside of the microwave; wipe fridge shelves on the agreed day
  • Vacuum upholstered chairs in reception and meeting rooms
  • Full vacuum including edges and under furniture

Monthly

  • High dusting: vents, light fittings, tops of cupboards
  • Wipe chair bases and desk legs
  • Descale taps and shower heads where fitted

Periodic (quoted separately)

  • Carpet hot-water extraction, typically every 6 to 12 months, sooner in high-traffic areas
  • Hard-floor machine scrub and seal
  • External window cleaning (usually base building, but check)
  • Upholstery deep clean

The clauses that make it work

A list of tasks is only half a scope. These lines turn it into something you can enforce:

  1. Standard. "Clean" means free of visible dust, marks, residue and odour when inspected in normal lighting.
  2. Consumables. Who supplies toilet paper, hand towel, soap and bin liners, and how they are charged: itemised, not buried.
  3. Access. The service window, how the cleaner enters and leaves, who holds keys and fobs, and the alarm procedure.
  4. Staff. Employees or subcontractors, police checks, and notice before a new cleaner starts on your site.
  5. Evidence of attendance. How you can see which nights were serviced. We sign every visit in and out on our app inside a geofence around the building, with a photo.
  6. Inspections. How often a supervisor inspects, and that you receive the results. Ours are every three weeks.
  7. Defects. How you report a missed task and how quickly it is fixed (normally the next service).
  8. Changes. How the schedule changes when your occupancy does, without a new contract.
  9. Notice. How either side ends the arrangement. We work on 30 days.

Using the template

Send it with your request for quote and ask every provider to price it as written, then list anything they would add or remove. You will get quotes you can actually compare.
